
AbbVie Switzerland is looking for an Executive Assistant to provide high-level administrative, organizational, and coordination support to the General Manager, the Affiliate Leadership Team (ALT), and the Country Affiliated Team (CAT).
This role plays a key part in ensuring smooth day-to-day operations, supporting internal communications and meetings, and contributing to selected strategic projects across the affiliate.
Support to the General Manager
Manage administrative tasks, including travel and expense arrangements
Oversee the day-to-day administration of the General Manager’s office
Plan and coordinate meetings, visits, and business exchanges
Organize all-employee town halls, virtual meetings, and related logistics
Support culture and communications activities in collaboration with External Affairs
Review contracts and purchasing documents, and create purchase orders to support approvals
Administer corporate legal documents and processes, including Powers of Attorney and Annual Reports
Support crisis management administration and liaise with EMEA Regional Security
Coordinate CAT meetings, including agenda preparation and minute taking
Support to the Affiliate Leadership Team
Support the onboarding of new ALT members
Plan and coordinate ALT meetings
Prepare agendas and minutes for ALT meetings
Provide administrative and organizational support to the HR and Finance teams, as well as selected business leaders, including the Market Access Director, External Affairs Director, and Compliance Manager
Coordinate in-house assistant meetings
Selected Strategic Projects
Take ownership of selected key affiliate projects, which may vary depending on business needs. Examples include:
Leading the organization of AbbVie Well-being Week
Supporting company-wide conferences and cycle meetings
Coordinating the company awards process, including nominations in collaboration with the ALT
Commercial education or equivalent professional qualification
Minimum 3 years of experience in a senior administrative role, preferably in pharma or a similar environment
Strong customer focus and service mindset
Excellent time management and prioritization skills
Ability to perform well under pressure and handle stress with professionalism
Business fluent in German, English, and French
Strong understanding of company business and operations is a plus
Excellent communication skills
High level of integrity and discretion
Strong organizational skills with the ability to anticipate needs and plan ahead
Flexibility in managing changing priorities and workloads
Ability to balance multiple priorities effectively
Self-driven, detail-oriented, and proactive
Able to adapt to different stakeholder levels and seniorities
Solutions-oriented mindset
Comfortable making decisions and acting in ambiguous situations with limited information
