Position Overview

We are seeking a highly capable and proactive Sr Executive Coordinator / Project Coordinator to support the Chief Scientific Officer (CSO) at our corporate headquarters in San Rafael. This role is a critical partner to the CSO, combining high-level executive support with coordination of key scientific, operational, and cross-functional initiatives.

The ideal candidate operates as a trusted extension of the CSO, anticipating needs, driving organization and prioritization, and ensuring seamless execution of day-to-day activities and strategic priorities. This position goes beyond traditional administrative support and requires strong project coordination capabilities, business acumen, and the ability to interact effectively across all levels of the organization.

Executive Support

Manage a complex and dynamic calendar aligned to strategic priorities

Coordinate domestic and international travel

Prepare agendas and materials for key meetings and reviews, including RED LT meetings

Serve as a primary point of contact for stakeholders

Draft communications and presentations and gain appropriate approvals

Handle sensitive information with discretion

Project Coordination & Operations

Coordinate and track activities and actions across the RED LT

Support leadership team meeting cadence

Maintain trackers for deliverables and milestones

Identify risks and drive resolution

Support preparation of executive reporting

Information & Workflow Management

Maintain Teams/SharePoint workspaces

Streamline workflows and processes

Support internal communications

Stakeholder Engagement

Build relationships with senior leaders

Act as cross-functional liaison

Represent CSO office professionally

Qualifications - Required

Bachelor’s degree or equivalent experience

5+ years supporting senior executives

Strong project coordination experience

Strong organizational and communication skills

High discretion and professionalism

Proficiency in Microsoft Office and Teams

Qualifications - Preferred

Experience supporting R&D leadership

Familiarity with drug development

Executive/board material preparation experience
