Position Summary You will provide high-quality executive support to the SVP, Company Secretary and the Secretariat team.

You will manage complex diaries, prepare sensitive board and committee materials, support Board and Non-Executive Director (NED) arrangements, and act as a trusted partner to senior stakeholders. This role will provide YOU the opportunity to lead key activities to progress YOUR career. These responsibilities include some of the following: Manage the SVP, Company Secretary’s diary and email with proactive prioritisation and high attention to detail. Prepare, collate and distribute confidential Board, Committee and executive papers and briefing packs.

Coordinate Board, Committee and senior leadership meetings including logistics, secure document management and follow-up of actions. Support NED engagement and AGM arrangements, working closely with shareholder services and external advisors. Manage the Board Portal and support users, ensuring document security and access control.

Liaise with senior internal and external stakeholders to ensure smooth day-to-day interactions and timely delivery of requests. Responsibilities and duties Act as a professional, reliable point of contact for the Company Secretary and NEDs. Track deadlines and contributors for reports and ensure timely submission of materials.

Draft clear written communications on behalf of the Company Secretary where required. Oversee travel arrangements and detailed itineraries for multi-leg international trips. Support Secretariat team administration and cover for colleagues when needed.

Monitor and process expenses, purchase orders and basic vendor interactions in line with policy. Why You? Basic Qualification Proven experience supporting senior executives or Board-level in a large, complex organisation.

Experience handling confidential and sensitive information with discretion. Strong organisational skills with the ability to manage competing priorities and tight deadlines. Proficient in Microsoft Office (Word, Excel, PowerPoint) and email/calendar systems.

Proven track record of leveraging advanced digital technologies and AI-enabled tools to optimise executive workflows, enhance high-level communication, and support data-driven decision-making. Excellent written and verbal communication skills and strong interpersonal presence. Experience preparing meeting papers, agendas and managing stakeholder follow-up.

Preferred Skills & Qualification If you have the following characteristics, it would be a plus Practical experience with Board Portal systems and secure document platforms. Advanced PowerPoint and Excel skills for executive reporting and briefings. Experience coordinating international travel and complex multi-stakeholder events.

Familiarity with corporate expense systems and basic procurement processes. Demonstrated ability to coach or guide more junior administrative colleagues. Working model This role is based at GSK HQ London - United Kingdom and follows a hybrid working model.
