Position Summary

We are seeking an Executive Search Operations Analyst to join Flagship Pioneering’s Talent Acquisition team. In this hands-on role, you will support executive search execution across Flagship and its portfolio companies, with a strong focus on back-end AI-focused operations, such as template creation for reporting and content support. The ideal candidate is highly proactive, organized, detail-oriented, and comfortable using AI-enabled tools to build and refine recruiting materials, streamline documentation and enable workflows to move with precision and urgency.

Key Responsibilities

  • Recruiting operations & coordination
  • Support day-to-day search execution by creating, maintaining and updating materials and internal documentation using AI-forward tools and workflows
  • Create and refine templates for job descriptions, status updates, candidate reports, debrief materials, and other executive search documents to ensure consistency across recruitment-related projects
  • Partner with recruiters to keep workstreams organized and efficient, action items clear, and deadlines on track
  • Maintain accurate, up-to-date records and candidate data to support consistent project management and execution across active searches
  • Ensure accurate and timely entry of candidate data, search activity, and status updates in Greenhouse ATS to maintain data integrity for current and future recruitment and pipelining efforts

AI-Enabled Execution

  • Use AI-enabled tools to improve speed, quality, and consistency of routine search operations, template development, reporting, and written communication
  • Apply new tools and techniques to strengthen workflow organization, summarization, and documentation
  • Stay current on internal Flagship priorities and business needs that affect executive search and talent acquisition workflows

Reporting, Data, and Workflow Support

  • Leverage AI-enabled tools and templates to build and maintain dashboards, trackers, and recurring reporting that provide actionable insights into executive search activity, candidate pipelines, and search progress. Prepare client-ready candidate summaries, search updates, and other documentation to support assessment and decision-making
  • Identify opportunities to reduce manual work and improve process efficiency through better use of systems, templates, and automation

Internal Stakeholder Support

  • Proactively communicate and provide professional support to internal stakeholders throughout the executive search life cycle
  • Support a high-touch internal experience by ensuring accurate information, timely follow-up, and smooth workflow execution.
  • Maintain confidentiality and discretion at all times

Required Qualifications

  • 2+ years of experience in recruiting coordination, executive search support, talent operations, or a related administrative role
  • Bachelor’s degree required
  • Comfortable using AI-enabled tools to update trackers, maintain documentation, and support operational workflows
  • Strong proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint
  • Experience with Greenhouse or a similar applicant tracking system
  • Excellent organizational skills and meticulous attention to detail
  • Exceptional written and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced, highly collaborative environment
  • High degree of integrity, discretion, and trustworthiness
  • Fluency in using data, dashboards, and reporting to track activity and surface insights

Preferred Qualifications

  • Experience supporting executive search or senior-level recruiting in a matrixed organization
  • Track record in project management including building reports or dashboards to track search activity and candidate movement
  • Demonstrated ability to use AI tools to improve operational workflows and communication
  • Strong judgment, resourcefulness, and a proactive approach to solving problems

Ability to build credibility and engage effectively with a diverse range of stakeholders and audiences, including senior executives

The salary range for this role is $76,000 - $104,000. Compensation for the role will depend on a number of factors, including a candidate's qualifications, skills, competencies, and experience. Flagship Pioneering currently offers healthcare coverage, annual incentive program, retirement benefits and a broad range of other benefits.
