About this role
Purpose of the Role Provide essential operational support to the European Partnership Markets (EPM) team, ensuring smooth, compliant and efficient execution of core business processes. The role enables cross-functional teams to operate effectively by managing purchase orders, training curricula, documentation and key systems, while delivering project and continuous-improvement support to the Business Operations Manager and EPM stakeholders. Key Responsibilities Project support and continuous improvement Support or lead continuous-improvement initiatives, depending on complexity, focused on documentation, archiving workflows, tender processes and other operational activities.
Provide project support using basic project management skills and tools (e.g. MS Project) to plan, track and report operational projects across EPM. Training management (MyLearning and EPM Training Matrix) Act as day-to-day owner and expert user of MyLearning for EPM, maintaining curricula and ensuring training compliance across functions and roles.
Maintain and update the EPM Training Matrix for joiners, movers and leavers, coordinating with line managers and process owners. Monitor training completion via dashboards (e.g. Power BI), prepare regular status reports and support the EPM Leadership Team in managing deadlines and compliance.
Purchase order (PO) administration Create and manage purchase requisitions and purchase orders in Fiori/Ariba on behalf of EPM business owners, in line with PM025 – Purchase Order Governance. Ensure accurate documentation, values and coding for POs, and support business owners through the GoA approval and invoice processes to meet contractual timelines. Systems and document management Serve as a knowledgeable user for key EPM systems: MyLearning, VQD (Veeva Quality Docs), DocuTrack, Adobe Sign and MS Teams/SharePoint; provide guidance to colleagues on standards and usage.
Support authors and document owners in linking procedures and operational documents in VQD to MyLearning curricula, ensuring training items remain aligned with current versions and audiences. Contribute to ownership and maintenance of operational documents (e.g. archiving companies overview), acting as a key contact for vendor master data and records management topics. Ad-hoc and cross-functional operational support Execute additional operational tasks requested by the Business Operations Manager to maintain business continuity and support EPM priorities (e.g. governance support, operational queries, document updates).
Provide high-quality administrative and coordination support to EPM leadership as needed (e.g. meeting preparation, documentation, follow-up on actions). Partner with Commercial, Medical, Regulatory, Market Access, Finance and Legal teams to provide consistent business-operations guidance and support across the European Partnership Markets operating model. Skills, Experience and Profile Strong organisation and prioritisation skills, with high attention to detail and ability to work independently in a fast-paced, matrix environment.
Experience with digital workflow and document-management tools, ideally including MyLearning, VQD, DocuTrack, Adobe Sign and collaboration tools (Teams/SharePoint). Understanding of procurement and contract flows (purchase orders, invoicing) and training administration processes. Continuous-improvement mindset with experience supporting or driving process optimisation initiatives.
