Job Description Job Title: Executive Assistant, PDT Manufacturing Location: Cambridge - Kendall Square - 500, MA About the role: As an Executive Assistant, you will provide comprehensive administrative support to the Head of PDT Manufacturing and leadership team, helping to maximize efficiency and effectiveness across the organization.
You will manage calendars, coordinate meetings and events, arrange travel, support financial and procurement processes, and manage documents and communications. This role requires strong organizational skills, sound judgment, confidentiality, and the ability to independently manage competing priorities while collaborating with stakeholders across Takeda. How you will contribute: Provide comprehensive administrative support to the Head of PDT Manufacturing, leadership team, and their organizations.
Manage calendars and schedule meetings, calls, and other interactions based on leadership priorities and business needs. Support the planning and coordination of large team and leadership events. Prepare and manage documents and correspondence, including meeting agendas, reports, emails, and presentations.
Serve as a key point of contact for internal and external stakeholders, directing individuals to appropriate resources and information. Arrange business travel and complete expense reports accurately and on time. Support the Purchase Order (PO) process, including preparing vendor, consultant, and supplier payment documentation, submitting payment requests, and responding to Accounts Payable inquiries.
Use Microsoft Outlook, Word, Excel, and PowerPoint to organize, track, document, and report information. Research solutions and respond to email and phone inquiries with minimal supervision while interacting effectively with employees at all levels of the organization. Own and execute the onboarding process for new team members and internal transfers, and participate in continuous process improvement initiatives.
What you bring to Takeda: High school diploma/GED required; an Associate or Bachelor's degree is preferred. Minimum of 8 years of relevant work experience or an equivalent combination of education, training, and experience; industry experience is preferred. Strong PC literacy with advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
Excellent verbal and written communication skills. Strong organizational, problem-solving, and decision-making skills with the ability to manage competing priorities and adapt to changing demands. Demonstrated ability to work independently, exercise sound judgment, maintain confidentiality, and operate effectively with minimal supervision.
Ability to collaborate and build effective relationships across a matrixed organization and with stakeholders at all levels.
