Process Development & Manufacturing (PDM)
Position Summary
The Administrative Assistant provides administrative and operational support to the PDM organization, with occasional support for activities across the larger R&D organization. This role partners closely with the Executive Assistant supporting the SVP of PDM to help coordinate departmental meetings, events, travel, communications, onboarding, team logistics, and cross-functional administrative initiatives.
The ideal candidate is highly organized, service-oriented, and comfortable managing multiple priorities in a dynamic team environment. This position is focused on department-wide administrative support rather than direct executive support, with complex executive matters and highly confidential issues escalated to the Executive Assistant as appropriate.
Primary Responsibilities
Departmental Administrative Support
· Provide general administrative support to the PDM organization.
· Coordinate meetings, logistics, materials, attendee communications, and departmental events.
· Support department communications, distribution lists, announcements, organizational charts, contact lists, and team resources.
· Prepare, format, distribute, and maintain departmental documents and materials.
· Maintain shared files, collaboration sites, and departmental resources.
Calendar and Meeting Coordination
· Support calendar management for designated leaders and team members, including scheduling, attendee availability, and changes, under administrative guidance.
Travel and Expense Administration
· Coordinate travel arrangements and support related changes for assigned team members.
· Prepare and support expense report processing in accordance with company policies.
Team Operations and Employee Support
· Support onboarding logistics, training activities, team-building events, and off-site meetings.
· Support routine reporting, data entry, and tracking activities as needed.
Partnership and Coverage
· Partner closely with senior administrative staff to ensure alignment on organizational priorities.
· Provide backup administrative coverage during planned and unplanned absences.
· Escalate sensitive, highly confidential, or executive-level matters as appropriate.
· Participate in administrative best-practice initiatives and select cross-functional R&D activities aligned with PDM goals.
Qualifications
Required
· High school diploma or equivalent required.
· Experience providing administrative support in a fast-paced business environment.
· Strong organizational, prioritization, and time management skills.
· Demonstrated ability to manage multiple tasks and deadlines simultaneously.
· Excellent verbal and written communication skills.
· Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
· Ability to maintain confidentiality and exercise sound judgment.
· Strong customer service orientation and collaborative approach.
Preferred
· Experience supporting department-wide operations, projects, or leadership teams.
· Experience coordinating travel, meetings, events, and onboarding activities.
· Experience working in partnership with senior administrative professionals.
· Experience within biotechnology, pharmaceutical, healthcare, manufacturing, or related industries.

The successful candidate is a proactive administrative professional who thrives in a collaborative environment, manages day-to-day operations with strong attention to detail, and partners effectively with the PDM administrative team on organizational priorities.
Additional Information
Nektar currently anticipates the base salary for the Administrative Assistant to range from $95,000 to $112,000 for candidates in the Bay Area and will depend, in part, on successful candidate's location and qualifications for the role, including education and experience. This position will also be eligible for an annual performance bonus in accordance with the terms of the applicable plan (depending, in part, on company and individual performance and at the Company's discretion on an individual basis.) The compensation described above is subject to change and could be higher or lower than the range described based on the market survey data.
