The Executive Assistant will provide high-level administrative support to several members of the CareDx Executive Leadership Team, including our Chief Data and AI Officer, Chief Medical Officer, and Chief Scientific Officer. This role is critical to ensuring efficient operation and effective communication within the organization. This role requires exceptional proactive organizational skills, attention to detail, and the ability to handle sensitive information with discretion.

Key Responsibilities

  • Provide high-level administrative support to assigned executives, exercising sound judgment and discretion when handling sensitive and confidential information.
  • Coordinate calendars and schedule meetings with C-suite executives, Board members, and external stakeholders, proactively managing scheduling conflicts and competing priorities to ensure optimal use of executive time.
  • Oversee all aspects of domestic and international executive travel, including flight bookings, accommodations, ground transportation, conference registrations, and detailed itinerary management.
  • Plan team meetings, activities, and events (e.g. R&D Day), including agendas, action-item tracking, follow-up, and on-site support, partnering with the Events Team as needed for key external events.
  • Serve as a professional liaison between assigned executives and external stakeholders, including Board members, key opinion leaders (KOLs) and industry stakeholders, and business partners.
  • Anticipate executive needs, proactively resolve issues using available resources and project management skills to coordinate timelines, deliverables and follow-up.
  • Maintain organized files, records, and databases; prepare key documents; support contract renewals and submissions; and manage invoices, vendors, purchase orders, and expense reconciliation.
  • Support onboarding and general team coordination, work on-site three to four days per week, and remain available and responsive during standard working hours.
  • Support the Executive Assistant team by providing backup coverage during absences and as business needs evolve, ensuring a smooth and consistent experience for executives.

Required Qualifications

  • 5+ years of executive-level support experience, with at least 2 years supporting C-level executives in a fast-paced and dynamic environment. Prior experience in life science is highly preferred.
  • Excellent organizational and time management skills with a proven ability to track tasks, manage competing priorities and commitments
  • Builds and maintains strong working knowledge of the executive’s priorities, preferences, recurring processes, and prior decisions, enabling increasingly proactive and independent support over time.
  • Strong written and verbal communication skills, with the ability to interact effectively with executives, stakeholders, and external partners. Skilled at maintaining open and responsive communication throughout multiple channels (e.g. email, chat, text, in person)
  • Skilled in Microsoft Office Suite, video conferencing tools, and experience learning various expense, vendor and contract management systems.
  • Ability to work onsite in Brisbane, CA 3-4 days a week. Willing to travel occasionally, both domestically and internationally. Actual in-office requirements may vary based on business needs, executive schedules, meetings, and travel commitments.
  • Exceptional judgement and ability to handle confidential information with discretion

This is the anticipated base salary range for candidates who will work in Brisbane, California. The final salary offered to a successful candidate will be dependent on several factors that may include, but are not limited to, the type and length of experience within the job, the type and length of experience within the industry, education, etc. Base pay is one part of the Total Package that is provided to compensate and recognize employees for their work, and this role may be eligible for additional discretionary bonuses/incentives and restricted stock units.

CareDx is a multi-state employer, and this salary range may not reflect positions that work in other states.
