The Executive Associate - Office based in Warsaw - provides dedicated, responsive administrative and coordination support to senior leaders and their teams within Patient Safety. A part of the Business Capabilities & Excellence (BCE) organization responsible for enabling, catalyzing, and accelerating the work of Patient Safety, the role performs highly diverse, often time-sensitive and complex administrative functions, projects, and tasks that enable effective leadership operations. Working closely with assigned leaders, supported teams, other Executive Associates, site administrators, and key partners, the Executive Associate anticipates key issues, manages competing priorities and commitments, and delivers high-quality executive-facing and local support in a fast-paced, matrixed environment.
Key Responsibilities
- ✓Provide proactive calendar and priority management for assigned senior leaders, anticipating key issues, resolving conflicts, and implementing action plans based on changing priorities and commitments.
- ✓Manage, coordinate, and organize high-level leadership, team, large-group meetings, and site activities including scheduling, rooms, content, materials, technology, catering, and other logistics.
- ✓Arrange complex domestic and international travel and provide responsive support for itinerary changes and related needs.
- ✓Coordinate visitors, guest access, supplies, workspace requirements, local onboarding and offboarding activities for employees and contractors, and other site-based administrative activities.
- ✓Complete Workday requisitions and other leader- or team-specific administrative transactions, where assigned, and maintain accurate departmental records and files.
- ✓Interface professionally with senior executives and diverse stakeholders; handle confidential business, organizational, and personnel information with discretion; and demonstrate diplomacy and excellent judgment in sensitive situations.
- ✓Prioritize activities and take action based on an understanding of departmental objectives and business needs, properly balancing competing priorities, resources, and time-sensitive requests.
- ✓Work under limited supervision, independently resolve scheduling and logistics issues, and apply established processes within the assigned support remit.
- ✓Partner across the administrative support team and provide agreed backup coverage for critical activities.
Reporting Relationship
- ✓Position reports into the Business Capabilities & Excellence organization as part of the administrative support team, providing dedicated support to assigned Patient Safety senior leaders, with close collaboration across the administrative support team and partners.
Qualifications
- ✓Bachelor's or Master's degree (e.g. in business administration, management, languages or a related field; scientific studies are an asset)
- ✓Experience in an administrative, office management or assistant role, or internships or student work in a corporate environment. Experience supporting senior managers or executives is an advantage, but not a requirement.
- ✓Strong organizational skills, close attention to detail and follow-up, and the ability to respond to business needs in a fast-paced, matrixed environment.
- ✓Excellent relationship-management and service orientation, with the ability to interact confidently and professionally with senior executives and diverse stakeholders, and maintain discretion and professionalism with confidential information and sensitive situations.
- ✓Demonstrated problem-solving ability and dependable execution in a matrixed environment.
- ✓Technical aptitude and learning agility to develop proficiency in business operations tools, data management, reporting, and standardized workflows through structured cross-training and backup assignments.
- ✓Proficiency with core administrative and collaboration systems, including Microsoft 365 applications, virtual meeting tools, document repositories, and relevant company systems.
- ✓Fluent in Polish and English

Compensation Overview
Warsaw - PL: zł94,200 - zł114,145
The starting compensation range(s) for this role are listed above for a full-time employee (FTE) basis. Additional incentive cash and stock opportunities (based on eligibility) may be available. The starting pay takes into account characteristics of the job, such as required skills, where the job is performed, the employee’s work schedule, job-related knowledge, and experience.
The final compensation will be determined based on demonstrated experience and in accordance with pay equity principles and applicable employment laws.
