Administrative Assistant, Medical Office

Position Summary
The Administrative Assistant provides day-to-day administrative and operational support to Vericel’s Medical Office, helping the team efficiently manage purchasing, invoices, agreements, grants, meetings, and other administrative processes.
This is a hands-on role for a highly organized and responsive individual who enjoys coordinating details, navigating processes, following up with stakeholders, and ensuring work moves from request through completion.
The role will partner regularly with Medical Affairs, Legal, Finance, Accounts Payable, Procurement, and other functions. As business needs and capacity allow, this position may also provide administrative support to other Vericel departments and leaders.
Schedule: This position is in-office from Monday – Thursday in our new Burlington, MA location, with flexibility to work remotely on Fridays.
Key Responsibilities
- ✓Provide day-to-day administrative support to the Medical Office, including scheduling, meeting coordination, documentation, and general administrative needs for the Chief Medical Officer and Medical Office Leadership Team.
- ✓Create and manage purchase orders and coordinate invoice and payment processing.
- ✓Support new vendor setup and follow up on outstanding documentation, approvals, and payments.
- ✓Coordinate the administrative workflow for Statements of Work (SOWs), Clinical Trial Agreements and other contract agreements, including document preparation, review routing, signatures, and final documentation.
- ✓Support Medical grant administration, including assembling materials, scheduling meetings, coordinating approvals, and maintaining completed documentation.
- ✓Maintain accurate trackers and records for agreements, grants, purchase orders, invoices, payments, and other assigned activities.
- ✓Support required payment and Sunshine Act reporting processes.
- ✓Coordinate across Legal, Finance, Procurement, Accounts Payable, Medical Affairs, and other stakeholders to keep requests moving through established processes.
- ✓Proactively follow up on open items, identify delays or missing information, and help resolve administrative issues.
- ✓Identify opportunities to simplify administrative processes and develop practical templates, checklists, or process guides.
- ✓Provide administrative support to other departments and leaders as business needs and capacity allow.
- ✓Provide backup front desk coverage as needed, including greeting visitors and supporting front desk needs.
- ✓Support special projects and other administrative activities as assigned.
Qualifications
- ✓Associate’s degree or equivalent experience; Bachelor’s degree preferred.
- ✓1–2 years of administrative, coordinator, office, or related professional experience.
- ✓Strong organizational skills and attention to detail.
- ✓Ability to manage multiple priorities and follow through on commitments.
- ✓Strong written and verbal communication skills.
- ✓Comfortable coordinating across multiple teams and navigating established processes.
- ✓Proficiency with Microsoft Office applications.
- ✓Experience with SharePoint, Adobe Acrobat, Veeva, Smartsheet, purchasing, or invoice-processing systems is a plus.
- ✓Resides near the Burlington, MA office.

The salary range Vericel reasonably and in good faith expects to pay for this position at the time of this posting is $58,000 to $68,000 annually.
The actual salary offered will be determined based on factors such as the candidate’s qualifications, experience, and skills. Bonus, incentive pay, equity and benefits may be provided in addition to the base compensation listed above.
